Dear Member,

Welcome to the May addition of IIM newsletter.  As you probably already know, May is the month when we traditionally focus on increasing public awareness of the importance of information.  For the third time, various organisations within the information management community around Australia and New Zealand worked together to prepare number of different events and activities throughout the month.  This collaboration included organisations such as the Institute for Information Management (IIM), Records Management Association of Australasia (RMAA), Australian Society of Archivists (ASA), Australian Library and Information Association, actKM, Health Information Management Association of Australia, Public Records Office Victoria, Australian Government Libraries Information Network.

The purpose of Information Awareness Month (IAM) is to increase public awareness of the breadth of the information industry through a serious of events throughout the month of May, showing the importance of properly capturing, managing and using information as it relates to everyone, from global corporations through to small businesses and individuals.  Overall theme of the IAM 2008 is “Safety : Security : Privacy”.

As it was the case in previous years, the IAM committee in the ACT takes a lead with 13 events planned for IAM 2008.  The key events organised as a joint activity of all participating organisations include the IAM 2008 Launch on the 1st of May at the National Archives of Australia, followed by the Breakfast Seminar “Data Loss Prevention - Part of Information Management Strategy” at the University House on the 21st of May and grand finale in form of the gala dinner featuring the speech by Brand Hoff that will be held in the Canberra Club on the 28th of May.

In Victoria, IAM 2008 consists of eight events, including a seminar on Records Management in Government Agencies - Auditor-General's Report Card that will be held at the Coopers Inn Hotel in Melbourne on the 27th of May.

In Western Australia, various organisations joined together to deliver a Multi-association Symposium, with the theme “Global Convergence, Answers to Information Management and Compliance”.  This event was tailored for everyone interested in maintaining information and knowledge.  Each of involved presentations introduced a wide array of perspectives as well as some very useful tips and tricks of trade.  The event held on the 1st of May at Hyatt Regency in Perth was attended by 240 delegates from across the government and private sectors.

ACT ECM COP is a self-directed forum aimed at providing organisations with access to better practice in defining strategies, developing business cases and requirements, selecting and implementing solutions, and ensuring ongoing solution up-take and productivity gains.

It is expected that COP members will contribute hot issues, ideas, knowledge and experiences to the forum to facilitate members to learn and collaborate. This forum takes place in face-to-face meetings, in addition to ad-hoc peer networking.

The IIM ACT Branch initiated two Communities of Practices (CoPs) during a conference in March 2004 to address a need for better practice in information management systems design and implementation.  Initial meetings were conducted at the conference to test the market for this COP: over 50 people attended the Electronic Documents and Records Management Systems CoP and about 40 participated in the Content Management Solutions CoP. It was decided that the CoPs would continue as ongoing forums.

CoP provides members with a network of peers to communicate and collaborate with, and to share knowledge and experiences.  The CoP provides “practitioners” with a place to discuss issues and lessons learnt, to find out how to work towards implementing a solution, and how to continue to make a solution successful over time.

The meeting of EDRMS CoP and CMS CoP (now under the name of the ECM CoP) scheduled in May will discuss Content Security.

Can compliance and usability coexist?  After a very successful session in April, Sensory7 is organising another edition of this seminar that is looking at the current compliance landscape and discusses some of the challenges faced by Information and Knowledge Managers in the Public Sector when trying to find a balance between compliance and usability. Is it possible to create user friendly applications while maintaining full records management compliance? 

This seminar examines the SharePoint and TRIM product sets to demonstrate how these types of tools can be brought together to improve usability for users and address compliance issues. It looks at the pro’s and con’s of this type of solution.  It includes a discussion about the effect that new web technologies and social networking may have on Information Managers moving forward.

The presentation will briefly discuss the following:

  • the importance of identifying your information holdings
  • classifying your information/data
    (not just security classification, but also assigning a level of importance to the organisation)
  • understanding the risks associated with information loss

Data Loss Prevention products are the next big topic.  Vendors are likely to be talking it up throughout the year, and this presentation will introduce it in a non-vendor specific manner.

Dr Mark Grundy from Consolve will provide an introduction to Business Intelligence with an overview of the situation in the ACT.

Brendan Halloran from FAHSCIA will describe an implementation of the latest BI/CPM technologies.

Records Management in Government Agencies - Auditor General's Report Card

The May 27 event IIM is co-ordinating has as its speaker Mr Matthew Brennan, Director of Performance Audit at the Victorian Auditor-General's Office. 

Matthew will be discussing the rationale for the Records Management Audit of Victorian Government Agencies, the methodology for the audit and some of the key recommendations. The Auditor-General’s report was tabled earlier this year.

As a matter of background the objective of the audit was to determine whether:

  • public sector agencies are managing records in accordance with the Public Records Act 1973

  • the Public Record Office  Victoria is operating efficiently and effectively in facilitating sound records management in the public sector.

 

Records management was selected for audit due to:

  • the significant risks to the community and public sector agencies from poor records management

  • potential for enhanced accountability and transparency of operations through better recordkeeping

  • instances within agencies of poor records management identified by this Office and other organisations.

The audit assessed whether a selection of public sector agencies had established an appropriate framework to manage their records. A records management framework containing seven principles of sound practice was developed by VAGO drawing from authoritative literature, PROV and expert practitioners. The principles are consistent with the Australian Standards for Records Management (AS ISO 15489), and standards issued by PROV.

IIM provides a collaborative event for WA and National members

As IIM Continues to pursue opportunities to work with other associations in delivering benefits to its members with a broad spectrum of Information management topics, WA Branch brings the first Multi Association Symposium. WA Branch is pleased that we are receiving registrations from across Australia. The event attracted 240 delegates from both the government and private sectors.

Yathin is currently the Enterprise Content Management (ECM) competency leader within the Deloitte Enterprise Information Management (EIM) group and has over 15 years of information management experience.

Yathin will take a user experience approach Deloitte have started to analyse some of the implementations they’ve seen and present these.

Kemal has 19 years experience in records management in local government and he will discuss the components of what I believe is required for a Best practice ECM solution that reflects the core compliance requirements required by legislation.

Many members of IIM will have heard of Dave Snowden from the  UK , we are pleased to announce as Keynote Speaker for the event, who is without doubt best placed to truly bring together all of the event topics with a global perspective of the issues faced the world over.

IIM believes in bringing together the users of information management systems with the providers of the enabling technologies as well as ICT professionals with Information Managers, CIO’s and alike – ‘we all face the same issues’. At the same time offering development opportunities and enabling us to gather information on industry trends and experience to put into practice ourselves.
