Dear Member,
Now that the festive and holiday season is behind us, business has got back to some sort of normality.
2006 promises to be an exciting year for IIM. I expect it will no doubt bring some new challenges to the workplace what with the federal governments industrial relations reforms and an increasing awareness by organisation of the need for efficient and effective document and records management.
IIM is currently updating its website. I encourage you all to visit it and provide us you’re your feedback on the structure and content. At present we have been placing publications which we think would be of interest. These include:
-
Media release from the Australian Law Reform Commission about the issuing of a report into evidence legislation in Australia
-
Digital Recordkeeping @ PROV magazine
-
IEA's free monthly E-Zine titled "Information Overload"
-
Presentations from Archives New Zealand's recent recordkeeping forum on Reporting and Audit under the Public Records Act
We have also provided some links to short courses, which may interest you. Information on University courses is out of date and we are working to update this information. If any member has any knowledge on any type of courses, even those at the universities which you feel may be of interest to the IM profession, then please provide the information in your feedback.
I would also like to encourage those who have written articles on any aspect of Information Management to pass it on to the Executive Office for inclusion on the IIM website.
Finally, if you come across an article which you feel would be interesting to our members then please forward a small synopsis of the article, name of the author and publishing details. We will ensure that we have the appropriate permission to place it in our monthly Newsletters and also published on the IIM site.
The calendar of IIM events for 2006 is nearing completion. Please note that IIM will be focussing its energy on state based events and seminars and will not be holding a national conference in 2006. All events will be published on IIM's website. Keep an eye on the website especially if you are travelling as you are most welcome to attend any IIM function.
VERS (Victorian Electronic Records Strategy) is a term that everyone would be conversant with. In December 2005 The Public Record Office Victoria published their latest version of "Digital Recordkeeping @ PROV". The publication is available by following this link. The magazine not only provides an update on PROV's Digital Archive, something that Justine Heazlewood presented to the IIM Melbourne Branch in August last year, the publication provides an update on systems certified.
In closing, I would encourage any feedback on any aspect of IIM. This can be forwarded to me through the Executive Office at mailto:iim@iim.org.au.
Regards and best wishes for 2006.
Robine Polach
President

Is the US learning from our document and
records management experiences?
Peter has recently returned from the USA where he assisted in the implementation of an EDRMS in a large US Government site, as well as observing marketing approaches used in USA. Peter will comment on his experiences and compare Australian vs. US record keeping and maintenance. He will discuss where the two approaches have come from and where they are headed.
Is the USA learning the lessons that Australia have learnt. Is Australia leading or lagging?
Peter will also discuss why the web and web application delivery is a focus in the USA, and how web delivery really impacts the users.

Privacy in Australia
|
Because of copyright restrictions, IIM is unable to provide extracts from the article in the Goodweekend "Eyes on the road" published in Fairfax's Goodweekend on January 28 2006 which highlighted how new technologies in cars and surveillance technologies are raising privacy issues through "function creep".
The article started by describing how the murder of the Saudi diplomat in his Canberra apartment was solved using traffic cameras photographing a car travelling initially south along the Hume Highway to Canberra and then, a little later, heading back north towards Sydney.
Whilst this could be viewed as a legitimate use of surveillance cameras Professor Roger Clarke sees this as an example of "function creep" where technology is installed for one purpose is used for another. This view is also supported by Dr Peter Chen who spoke to the IIM Branch in September last year.
In Australia, aspects of privacy can be protected by laws of trespass, nuisance, defamation, breach of confidence and copyright. Laws limiting the use of surveillance devices or the interception and recording of telephone conversations also have the effect of protecting privacy, as do confidentiality provisions that are often found in laws regulating sensitive matters such as adoption, infectious disease or the handling of criminal records.
Some Australian jurisdictions have enacted specific privacy legislation to oblige certain public and private sector organisations to collect and handle personal information responsibly. In many cases, these privacy laws are complemented by related legislation giving individuals a right of access to their information (freedom of information laws) or providing more specific protection for their health records (health privacy laws).
Privacy laws do not exist in all jurisdictions across Australia, although some have adopted administrative guidelines that are largely based on privacy laws. Where legislation or guidelines have been adopted, generally their coverage is complementary and their obligations similar. Most privacy laws in Australia and overseas are based on internationally accepted standards set down by the OECD in 1980 and more recently by the European Union in 1995.

Searching for utopia - the future of search
Effective business or enterprise search, for many organisations, implies much more than simply typing in a keyword and pressing 'go', as most users do when searching the World Wide Web. It requires the ability to retrieve relevant information in a timely manner across multiple data repositories and involves the use of various technologies such as content classification, categorisation and clustering; fact and entity extraction; metadata and taxonomy management; visualisation and personalised search.
This conference will focus on the key considerations for ensuring effective search across your enterprise as well as looking at the future developments in the search market.
