The planning of IIM activities for 2006 is well underway.  In the first few months of 2006 State Committees have held very successful events.  I am also pleased to say that NSW is in good hands now and they are planning a series of workshops.
Information Awareness Month, May 2006 is going to be full of events throughout Australia.  IIM is working with RMAA, KM, ALIA, ASA on pulling together various activities in all states.  I am looking forward to these events and you will find them being advertised on our website, and of course all the other sites of the professional groups.  Details of events will also be in our April newsletter.
I am a bit disappointed with my request for peoples impressions of the IIM website. Thank you to Elizabeth Baratto for her feed back which I do appreciate and will take on board all comments.
We have provided in the Newsletter reports that are now available on the IIM's website, details of these are 'In The News' section.
Members would be interested that State Records of SA, in partnership with the State Library of SA, University of SA and Fuji Xerox; have established a Chair in Business Information Management to provide a suite of undergraduate, post-graduate and Masters programs. More information on this initiative is provided below.

Speaking at Melbourne's inaugural breakfast is Robert Craig, a lawyer with Blake Dawson Waldron. Robert will be talking about the new document destruction provisions which will make it a criminal offence to destroy documents knowing they are reasonably likely to be required in legal proceedings. The Bill highlights the need for companies to develop centrally managed and audited document retention systems while regularly communicating document retention protocols to their employees, agents and officers. This will have significant ramifications for us as information managers.
 
The importance of good record-keeping and having appropriate disposal schedules has been gaining an increasing amount of press with the introduction of the new Workplace Relations regime (AFR Article 29 Mar 2006 Business seeks to cut red tape) and, various court cases and inquiries including  Seven Network's $1.1 billion damages case over the demise of its pay-TV arm and the AWB inquiry.
IIM will be keeping an eye open to see if the Government amends the compliance regime, as it will be in everyone's interest to have requirements that don't cost so much that non-compliance is an attractive option. 
Organisations and companies who do take the option of non-compliance, regardless of the likely penalties, may then find that the lack of records is then added to the list of charges thereby incurring increased penalties.

In closing I urge all members to participate in the "State of the Industry" survey developed by AIIM International. It is through IIM's partnership with AIIM that we are able to benchmark Australia's document practices with the rest of the world. Results of the survey will be published in latter editions of this Newsletter.

"State of the Industry" International Survey.

As part of IIM's affiliation with the Association for Information and Image Management (AIIM), IIM members are invited to participate in AIIM’s annual “State of the Industry” survey.  Through this participation, we are able to benchmark the performance of Australian organisations relative to document and records management practices and priorities in other regions.
 
The survey only takes about 10 minutes to complete.  If you could take a few minutes by clicking on the link below, it will greatly enhance our ability to understand trends within Australia and improve IIM’s ability to meet your needs and requirements.

Chair in Business Information Management established in SA
State Records of SA in partnership with the State Library of SA, University of SA and Fuji Xerox have established a Chair in Business Information Management to provide a suite of undergraduate, post graduate and Masters programs.  This Chair is required to meet an identified need for a new breed of Information Management professional to meet the coming decades challenges in our profession including an aging demographic and current/projected skills shortage.  The Chair program was launched in January 2005 by the Minister for Administrative Services and attracted 150 CE's from the private and public sector (state and local government) organisations as well as other key members of State Cabinet and the Opposition.

Destruction of Documents: A New Criminal Offence 
In brief:
  • Legislation creating a new criminal offence in relation to the destruction of documents has been introduced into Victorian Parliament.
  • Where documents are reasonably likely to be required in legal proceedings, a person performing the relevant act of destruction who knows this and intends to prevent the document from being used, could be prosecuted for document destruction.
  • Both individuals and companies can be prosecuted.
  • The Bill introduces a "corporate culture" test for assessing a person's intention to prevent a document from being used as evidence, and offers a limited defence of "due diligence".
  • The Bill highlights the need for companies to develop centrally managed and audited document retention systems while regularly communicating document retention protocols to their employees, agents and officers.

David Bowie from SAS Australia and New Zealand has forwarded for IIM members an article from Frank Buytendijk, Research Vice President at Gartner that states that 'The pressure from cost cutting and compliance has put a greater focus on Business Intelligence (BI), but businesses are still using it very tactically,' says Frank Buytendijk, Research Vice President at Gartner. 'Successful organisations realise that having a real vision for BI is the key to business performance and they use information as a resource implemented in their business culture. BI applications require a clear and intimate understanding of the business itself and it is only by working on business and IT issues in tandem that the real value of BI is realised.'

As the demand increases so does the imperative for a sound strategy that meets short terms needs as well as providing the foundation to meet a long-term vision .In order to overcome these common issues, more and more organisations are forming a Business Intelligence Competency Centre. This more holistic approach to business intelligence encompasses more than just the technology - it is part of an overall information strategy.

This white paper discusses how a Business Intelligence Competency Center (BICC) as a permanent formal organisational structure, which includes representatives from the business and IT, can be used to advance and promote the effective use of business intelligence to support the organisation's business strategy.
