Dear Member,
The National Board of IIM held a face to face meeting in Canberra on the 28th and 29th August. The meeting was very interactive with lots of good things coming from it, such as a draft Strategic Plan to cover 2006 - 2008. One of the strategies is to improve the content and "look and feel" of our website.
During our meeting we also identified roles such as Marketing, Membership, Industry Development, Finance and Governance. The following members have voluntarily taken on these roles:
Marketing: Paul Fendley, Director Queensland
Membership: Peter Goddard, Director NSW
Industry Development: Shared by Kerry Nichols, Director WA and myself
Finance and Governance: Ben Tosetto, Director Vic
We also have three Regional Directors - Colin Towns (ACT) and Greg Wilson (Vic) and newly elected from WA Terry Gaston.
With this very enthusiastic group, IIM is going to be working very hard to increase its profile/relevance within our industry and provide added benefits to our members. The Board have also set an objective of increasing IIM?s membership and have undertaken to investigate the feasibility of a marketing campaign and the introduction of Industry Awards.
I have now settled into a new position with the Department of Health and Ageing who are looking at how information is managed within the department, something that we all should be proactively doing given some of the recent reports regarding the misuse of information. For example, the recent incidents at Centrelink and the ATO on the issue of information security, and the inappropriate access to information by internal staff.
Centrelink and the ATO are not the only departments that have been criticised in the way they manage information. Following the Palmer Enquiry, the Secretary of DIMIA commissioned a Strategic Review of Recordkeeping by National Archives of Australia. One finding of this study was that "a Strategic Management Framework was lacking". Click here to a link of the full report.
These recent happenings have set some government organisations thinking about the management of information and realising that one of the things that they need to do, is to first understand and know where their information assets are. What type of systems, who has access, are they the correct people to have access, does the organisation know all systems that hold information either manual or automated.
Over the next few weeks I will be working on producing a methodology for mapping applications that hold information. I would be interested in hearing from any members who have embarked on a similar exercise so that we can share each others experience. Please contact me robine.polach@health.gov.au.
In the interests of keeping my message to a reasonable length I encourage you to follow the following link to some useful definitions and links that I have found in my information mapping activity. Information Mapping Link.
In closing, I encourage all members and information management professionals to undertake AIIM Global Survey on Records Management.

President
