Dear Member,
I hope you had a Happy Easter break and are well rested and refreshed back on the job.
This bio monthly News Letter contains the "2nd part of the Information Management" articles written by Steve Neilsen and myself.
In the month of May we have the Information Awareness Month and I feel proud that so many information professional groups have been working together in the different States to produce a very energetic and fine body of sessions.
To some of the IIM Endorsed Conferences and Seminars we have been able to offer free admission. The lucky IIM person who is able to take advantage of this are asked to provide a small report on the event. We have a report on the "Encouraging a Knowledge Sharing Culture in Professional Services" which was an ARK conference.
In this News Letter I am happy to print the invitation to the IIM initiative to review the IIM Goals and Mission. I look forward to hearing from those who would like to participate.
In the month of April a small team of people are working with 3rd Mill who was the successful applicant for the management of the IIM website. I will keep you all posted with the outcome and I am hoping that by the end of July we will have the new look and feel of the IIM website in time for the IIM National Conference.
I am also pleased to be able to report that IIM created a template Memorandum of Understanding and sent this to other Professional Groups. I look forward to hearing back from these groups and will let you know of any new alliances that we make.

Review of IIM's Goals and Objectives
|
|
Elaine Eccleston wrote with regards to the AGM Panel discussion in 2006 "In the nineties, a group of forward-thinking information professionals, led by Len Asprey and Judith Ellis, saw that there was a need for an over-arching organisation to enable broader and more helpful communication between middle and senior executives in government (Federal, State and Local), private enterprise including vendors and the various information-related associations" (IIM AGM & Panel Discussion12 October 2006) http://www.iim.org.au/national/html/iim_agm_2006.cfm )
Elaine then continued that “it was also around that same time that IIM developed it's Mission and Goals". She went on to say that in her view “the emphasis soon became centred on users of information management systems and the providers of enabling technologies, rather than addressing the management of the intellectual content of information”.
In her concluding comments, Elaine said that “ten years down the track, it’s probably time to re-visit our Vision, Mission and Objectives to assure ourselves that we are ‘on the right track’, or if we decide that those statements need modification, let us not shy away from the task.”
The Board invites any IIM member wishing to contribute to this Review to email the IIM Office at iim@iim.org.au with your expression of interest.

May - Information Awareness Month
|
|
The purpose of Information Awareness Month (IAM) is to increase public awareness of the breadth of the information industry through a series of events all through the month of May. Showing the importance of properly maintaining good records and information as it relates to everyone from gl bal Corporations through to small business and even the homemaker - to "connect information and people".
IAM is a collaborative event between various bodies, including IIM, within the records, archives, library and information management community and this commonality of purpose reflects the fact that the various bodies are recognised as some of the most widely respected professional bodies in the information management community within not only Australasia but worldwide. It is hoped that over time other industry Associations globally will embrace Information Awareness Month.

What's New On Standards

SAI Global, the publicity arm of Standards Australia has a set of draft publications that are free to download - see: http://www.saiglobal.com/shop/Script/PortalQuality.asp. You never know what useful info is there unless you visit this website.
Click on the "Search" facility in the top bar, select "Search for a Draft", then fill in Search box for say: Information, or Recordkeeping, Quality or whatever.
There is a much wider variety of ICT related documents available of course that may be just germane to your current project.

The British Standards Institution (BSI) has published a new guide for information and records management to help organisations of all sizes and sectors operate more efficiently.
Effective Records Management - Part 4: How to comply with BS ISO 15489-1 is designed to meet the challenge of ensuring that an organisation's records are credible and trustworthy, are able to provide a defence when required and provide an accurate source of information on which to base decisions for future activities. This new publication explains the requirements of BS ISO 15489-1:2001 and the range of options available so that an appropriate level of compliance can be selected.
It suggests approaches that can be adopted to build a portfolio of evidence, which demonstrates compliance to the degree that is required.
The authors have included tips on how to implement some of the standard's requirements, based on their combined 50 years of professional knowledge.
There are sample forms with guidance notes for completion to help make the workbook clear and easy to use.

Information Management Series

Information comes in many forms, from books and journals, corporate records, discussions over coffee, spreadsheets, emails, and your organisation’s systems.
As Information Managers we should be aware of the impact of a well-told story.
Librarians are information professionals who manage information and services to meet people’s information needs. Archivists are also in the business of managing information. They manage information by ensuring safe storage, cataloguing and retrieval of documents and items.
With the advent of Information Technology we now have more opportunities and challenges to manage our corporate records.
Technology also creates new challenges for the modern information manager.
An information manager (records manager) can assist by Identifying sources of information and classifying these sources to eliminate the inappropriate data, ambiguity, and duplicates of same data. The information manager can also help legitimise data and ensure an audit trail exists.
That is people use technology to find information it is there skill that interprets and places the information into the correct context. Over time a good information manager will gather evidence and stories about how understanding systems and the management of information helped the organisation. As an information manager you have to be an active part of the organisation and actively interact with all the other information managers across the organisation.

"Encouraging a Knowledge Sharing Culture in Professional Services Conference"
The conference was efficiently chaired and facilitated by Dr Helen Paige, Principal, Advance Knowledge Networks. The first day's conference papers certainly set the scene on how to start positioning Knowledge Management into our organisations, how to obtain management support to do this by gaining strategic recognition for Knowledge Management. The papers also provided a lot of practical information on capturing and disseminating information and setting-up databases. Full Article
